Billing Terms & Conditions

These Billing Terms & Conditions explain the payment, pricing, billing and invoicing arrangements that apply when purchasing products from HILLARCH TRADING LIMITED through our website.

By placing an order with us, you agree to the billing terms set out below.

1. Payment Methods

We accept a range of secure payment methods, which may include:

  • Visa

  • MasterCard

  • American Express

  • Discover

  • Major UK Debit Cards

  • PayPal

  • Apple Pay

  • Google Pay

The payment methods available to you will be displayed during checkout and may vary depending on your device, location and payment provider.

All payments must be successfully authorised before an order can be processed or dispatched.

2. Currency & Pricing

All prices displayed on our website are shown in British Pounds Sterling (GBP £) unless otherwise stated.

If you use a payment card or account denominated in another currency, your bank or payment provider may convert the transaction using its own exchange rate.

Your bank or payment provider may also charge:

  • Currency conversion fees

  • Foreign transaction fees

  • Processing fees

  • Other applicable charges

HILLARCH TRADING LIMITED is not responsible for exchange rates or additional fees applied by your bank or payment provider.

3. VAT

HILLARCH TRADING LIMITED is registered for UK VAT.

VAT Number: 508204519

Where applicable, prices displayed on our website include VAT at the appropriate UK rate.

For products subject to the standard VAT scheme, applicable VAT will be reflected in the order total and relevant invoice documentation.

Certain eligible second-hand, pre-owned or refurbished products may be sold under an applicable VAT Margin Scheme.

Where the VAT Margin Scheme applies:

  • VAT is included within the selling price.

  • VAT is calculated according to the applicable margin scheme rules.

  • VAT will not normally be shown separately on the invoice for the margin scheme item.

  • Business customers cannot normally reclaim VAT separately on a VAT Margin Scheme purchase.

The VAT treatment applicable to a particular transaction will be reflected on the relevant invoice where required.

4. Payment Processing

When you place an order, your chosen payment provider may authorise the transaction to verify:

  • That your payment method is valid

  • That sufficient funds or credit are available

  • That the transaction passes applicable security checks

An authorisation may temporarily affect your available bank balance or credit limit.

The payment may be captured when your order is accepted, processed or prepared for fulfilment, depending on the payment method and payment provider used.

5. Payment Security

Protecting your payment and personal information is important to us.

Our website uses secure encrypted connections and trusted third-party payment providers to process transactions securely.

Depending on the payment option selected, your transaction may be processed by an external payment provider such as PayPal, Apple Pay, Google Pay or another authorised payment processor.

We do not intentionally store complete payment-card details such as your full card number or card security code on our own website servers where these details are processed directly by third-party payment providers.

You should always ensure that you are using the official HILLARCH TRADING LIMITED website before entering payment information.

6. Failed or Declined Payments

A payment may occasionally be declined or fail to process.

Common reasons include:

  • Incorrect card details

  • Incorrect billing information

  • Billing address mismatch

  • Insufficient funds

  • Expired card

  • Blocked or restricted card

  • Bank security checks

  • Fraud-prevention measures

  • Payment-provider restrictions

  • Technical processing issues

If your payment is declined, please check that the information entered during checkout is correct.

If the problem continues, please contact your bank, card issuer or payment provider.

HILLARCH TRADING LIMITED does not control decisions made by your bank or payment provider to approve or decline a transaction.

7. Payment Verification & Fraud Prevention

To protect our customers and our business, some transactions may be subject to additional security checks.

We may request further information where reasonably necessary to verify:

  • Customer identity

  • Billing information

  • Delivery information

  • Payment authorisation

We reserve the right to delay, refuse or cancel an order where we reasonably suspect:

  • Fraud

  • Unauthorised payment

  • Identity misuse

  • Incorrect payment information

  • Other suspicious transaction activity

Where an order is cancelled after payment has been taken, an appropriate refund will be issued.

8. Pricing Errors

We take reasonable care to ensure that prices displayed on our website are accurate.

However, technical or administrative errors may occasionally occur.

If we identify an obvious pricing error after you place an order, we may contact you and offer you the choice to:

  • Continue with the order at the correct price; or

  • Cancel the affected item or order and receive a refund for any payment already made.

We reserve the right not to fulfil an order at an obviously incorrect price where the error should reasonably have been apparent.

9. Order Cancellations & Refunds

Orders Not Yet Dispatched

If you request cancellation before your order has been dispatched, we will normally attempt to cancel it and issue an appropriate refund.

However, cancellation cannot always be guaranteed once an order has entered the processing or fulfilment stage.

Orders Already Dispatched

If your order has already been dispatched, you may need to return the product in accordance with our Returns & Refund Policy.

Where a refund is due, it will normally be issued to the original payment method used for the purchase.

The time required for the refund to appear in your account may depend on your bank, card issuer or payment provider.

Your statutory rights regarding cancellations, faulty goods and refunds are not affected by these Billing Terms.

10. Refund Processing

Once a refund has been approved and processed by us, the time it takes to appear in your account is controlled by your payment provider.

Depending on the payment method, refunds may take several working days to appear.

Unless otherwise agreed or required by law, refunds will normally be made to the same payment method used for the original transaction.

For eligible online consumer cancellations, refunds will be processed within the timescales required under applicable UK consumer law.

11. Invoices & Receipts

After a successful purchase, you may receive an electronic:

  • Order information

  • Tracking information

  • Customer communications

  • Device IMEI or serial-number records
